How to Share an Excel File as a Link (View-Only, No Download) in 2026

Quick answer: To share an Excel file as a link, save it to OneDrive or SharePoint, select Share in the upper-right corner of Excel, choose Copy link, open the link settings to set Can view and who the link works for, then paste the link. How do I share an Excel file as a link?
Select Share in Excel, choose Copy link, and paste the link. The workbook must already live in OneDrive or SharePoint; if it is on your desktop, Excel will ask you to upload it first.
Microsoft's co-authoring help gives the steps per platform (support.microsoft.com). The workbook has to be in ".xlsx, .xlsm, or .xlsb file format" and stored on OneDrive, OneDrive for Business or SharePoint Online.
- Save the file to OneDrive or SharePoint. In Excel, File, Save As, and pick your OneDrive or a SharePoint site. Once it is in the cloud, the Share button becomes active.
- Select Share. On Windows it is in the upper-right corner. On Mac, Microsoft's help says to press Esc and then select Share > Copy link. In Excel for the web, click Share at the top.
- Open the link settings. Select the gear icon (or Link Settings in Excel for the web) to choose who the link works for and whether they can edit.
- Set the permission. Microsoft's OneDrive help says copied links default to Can edit, so switch to Can view unless you want edits (support.microsoft.com).
- Select Apply, then Copy. Paste the link into email, Teams, Slack or a doc. Anyone who opens it sees the current version, and if you want to invite by email instead, type addresses separated by semicolons and select Send.
That is the whole method for the ordinary case: a budget going to a colleague, a price list going to a supplier. The rest of this post is about making the link behave.
How do I make an Excel link view only?
Change the permission from Can edit to Can view in the link settings before you copy the link, and narrow the audience.
Microsoft's OneDrive sharing dialog offers four audiences (support.microsoft.com):
- Anyone gives "access to anyone who receives this link", signed in or not.
- People in your organization with the link works only for accounts in your tenant.
- People with existing access "does not change any permissions"; it just produces a link for people who already have access.
- Specific people "gives access only to the people you specify".
Then the permission: Can edit or Can view (Word files also get Can review). Two more controls sit in the same dialog: Set expiration date and Set password, which Microsoft marks as "only available to Microsoft 365 subscribers", and for folders only on Anyone links. If an option is greyed out, Microsoft's help says your organization's admins may have restricted it, for example disabling Anyone "to prevent usable links being forwarded to others outside your organization".
A view-only link is a real restriction on editing the original. It is not a restriction on copying: a viewer can still select cells, copy values, download the file (unless you block it, next section) or screenshot it.
Can I share an Excel file without letting people download it?
Sometimes. Microsoft's dialog has a Block download switch, but it only appears for work or school accounts and only on links that do not allow editing.
Microsoft's wording is exact: "Block download prevents people from downloading the file or folders they have access to", and it is "only available for work or school accounts and if you don't allow editing" (support.microsoft.com). So:
- Personal Microsoft accounts (outlook.com, hotmail.com) do not get Block download.
- A Can edit link cannot block download.
- With Block download on, the recipient reads the sheet in Excel for the web only.
What Microsoft's sharing help does not describe is anything that stops the viewer from copying cell values out of the browser, taking a screenshot, or seeing who else opened the link. For a cap table going to an investor or a model going to a buyer, that is the gap a data room closes, and I cover it below. For everything else, Can view plus Block download is enough.
How do I share an Excel link from OneDrive or SharePoint directly?
Right-click the file in OneDrive or in a SharePoint document library, select Share, and you get the same dialog with the same settings.
This route is useful when you do not want to open the workbook, or when you are sharing a folder of spreadsheets at once. The steps are identical: Share, adjust the settings via the gear icon, Apply, then Copy and Send (support.microsoft.com). Folder links carry the same expiration and password rules as file links, restricted to Anyone sharing.
If your company has both OneDrive and SharePoint and you are not sure which the file should live in, the usual rule is simple: your own working files go in OneDrive, team files go where the team works. How do I share an Excel file as a Google Sheets link?
Upload the .xlsx to Google Drive, open it (it opens in Google Sheets), set General access to Anyone with the link or keep it Restricted, choose Viewer, and select Copy link.
Google's help confirms an Excel file double-clicked in Drive "opens in Google Sheets", and you can either edit it in Excel format or click File, then Save as Google Sheets to convert it; Google recommends converting when "your dataset is 10 million cells or fewer" and keeping Excel for larger sets or rare chart types (support.google.com).
Sharing then follows Drive's standard dialog (support.google.com):
- Select Share.
- Under General access, pick Restricted ("only people with access can open the file") or Anyone with the link ("anyone who has the link can use your file, without signing in to their Google Account").
- Set the role to Viewer, Commenter or Editor.
- To stop downloads, select Share, then Settings, and untick the option that lets viewers and commenters download, print and copy.
- Select Copy link.
Google's Add expiration control is "only available for eligible work or school accounts", and viewers who are not signed in "show up as anonymous animals", so you see an anonymous animal while they are in the sheet, not who they were or when they came. Should I convert the Excel file to PDF before sharing the link?
Yes, when the formulas, hidden sheets or cell comments must not travel with the numbers. A PDF shows the printed values and nothing else.
In Excel, use File, Save As (or Export) and choose PDF as the file type, checking the print area first so wide sheets do not spill across pages. Then share the PDF the same way, as a OneDrive link or through a data room. The trade-off is obvious: recipients cannot sort, filter or plug in their own scenarios, and you lose the single live version. For a lender who needs three tabs of a model and nothing behind them, that is often the right trade. When should I use a data room link instead of an Excel link?
When the spreadsheet is a financial model, cap table, pricing book or anything a counterparty could misuse, and you need to know who opened it, stop downloads regardless of account type, and be able to pull the link back.
I run Peony, so weigh this accordingly, but the feature line is factual. A data room link wraps the workbook in a viewer that the native Share dialog does not provide:
- Password-protected link, expiry date and per-viewer analytics on the free plan. You upload the .xlsx, generate a link, set a password and an end date, and see each open by viewer email with time on each sheet. No Microsoft or Google account is needed on either side.
