Audit Trail: One Visitor's Complete Activity Record

Audit trail is the dedicated, per-visitor record of everything one person did in a data room — their identity signals, their AI Q&A questions, and a timestamped, file-by-file timeline of what they viewed. It's the same profile you can reach by clicking a name from Data Room Level Analytics, surfaced through its own tab so it's easy to pull up for one specific visitor.

Where to Find It

Open the data room and click Audit trail in the left sidebar, next to Analytics. Select a visitor to open their full record.

What You See

Profile — known identity and device signals for this visitor:

Email
Location (IP-based, approximate)
Device (e.g. desktop)
OS
Groups — which link group(s) the visitor is associated with

Four summary tiles:

Total views — how many times they opened the room
Total view time — cumulative time across all sessions
Avg. view time — average time per session
Downloads — count of files they downloaded

AI chats — every question this visitor asked the room's AI document Q&A (see AI Q&A), each row showing the question and how long ago they asked it. Click a row to see the full exchange.

Activity — a complete, timestamped timeline of how the visitor moved through the room: every file and folder they opened, how long they spent on it, and how long ago. For example: "Viewed Customer Contract Abstracts.pdf for 1 sec — 21m ago."

What It Tells You

Exactly what one counterparty has seen before a call. Pull up their audit trail before a follow-up so you know which documents to reference and which they haven't opened yet.
What they asked, not just what they read. The AI chats list shows the actual questions a viewer typed — often a sharper signal of intent than time-on-page alone.
A defensible record if a dispute comes up. Because every row is tied to the visitor's verified email and timestamped, the audit trail is the record to point to if a counterparty later claims they weren't shown something, or asks what a reviewer on your own team accessed.

Current Scope and Limitations

One visitor at a time. Audit trail is a per-visitor drill-down, not a room-wide log — for the aggregate view across every visitor, use Data Room Level Analytics.
Location is approximate. IP geolocation can be off by 500km or more; VPNs and corporate proxies distort the signal.
Groups reflects link membership, not a fixed identity. The same person can appear against multiple groups if they were sent more than one link into the room.

Common Questions

Is this different from clicking a visitor's name in Analytics?

No — both paths open the same profile. Audit trail is the dedicated tab for when you already know which visitor you want, without going through the room-wide dashboard first.

Can I export a visitor's activity timeline?

The room-wide CSV export is documented on Page-Level Analytics and can be filtered to one link or viewer.

Does the AI chats list show the AI's answers, or just the visitor's questions?

The list shows the question and when it was asked; click a row to open the full exchange.
