Hide New Content by Default

Turn on Hide new content by default in a Peony data room's Settings tab so new files and folders stay hidden from every sharing link until you grant access group by group in Permissions.

Last updated October 20, 2026

By default, a file or folder you upload inherits access from every existing group, so everyone who could see the room can see it the moment it lands. That's rarely what you want mid-deal: you add a sensitive document and then have to switch it off group by group. Hide new content by default flips that default.

Turn It On

  1. Open the data room and click the Settings tab. This is the room's own settings, not the workspace menu.
  2. Find the Hide new content by default card and switch it on.

From then on, new files and folders stay hidden from every sharing link until you grant access to them in Permissions, group by group.

What It Changes and What It Doesn't

It only changes what happens to content added after you turn it on. Files already in the room keep the access they have.

Grant Access to a New File or Folder

  1. Open Permissions and select the group.
  2. In the Permissions table, set the new file or folder to View, Download or Upload for that group.
  3. Click Save at the bottom right.

Skip the last step and nobody outside your team will see the file. Nothing applies until you save. See Set view, download and upload permissions.

If You Leave It Off

A folder you add inherits access from every existing group, and you toggle it off per group by setting it to No access. If you need hard separation between audiences, split the content into a separate data room.

Common Questions

Does Hide new content by default hide files already in the room?

No. It only changes what happens to content added after you turn it on. Files already in the room keep the access they have.

I added a file and my group can't see it.

If Hide new content by default is on, new files stay hidden until you grant access. Open Permissions, set the file to View or Download for the right groups, and click Save.
