Create a Group for a Counterparty
Create a group in a Peony data room, name it, choose Email access or Link access, add the people, set their document permissions and save. One group per audience gives each its own security, analytics and clean revocation.

A group is one audience: a named set of visitors with its own link, its own security controls and its own folder permissions. Creating one takes a few minutes, and everything you do afterwards (inviting, revoking, reading analytics) is done per group.
Steps
-
Open the data room and click Permissions in the left sidebar.
-
Click Create new group at the bottom of the Groups column. If the room has no groups yet, the empty state reads Create a new group to share your data room.
-
On step 1, Visitors, give the group a Group name and choose the Access mode:
- Email access. You list each person, or a whole domain, and Peony emails each of them an invitation. Everyone else is blocked.
- Link access. Peony makes one link and you send it yourself. A new Link access group starts with Email-gated access on, set to Require viewer info. See Email-gated access.
-
For Email access, type an email address under People with access and click Add. Repeat for each person. A bare domain such as
fund.comlets anyone at that company in, and needs the Data Room plan. -
Click Next to set Document permissions (step 2). This step also holds the group's Security control cards. Every folder and file starts at View, and you can set No access, View, Download or Upload for each one. Per-folder and per-file levels, and Upload, need Data Room+.
-
Click Done at the bottom right. When you edit a saved group later, the same button reads Save.
Once the group is created, Email access invitations go out right away. For Link access, click Copy access link next to the group and send the link yourself.
You can also start from the Share securely button in the top bar, which creates a default group and drops you into the same wizard.
Name the Group After the Counterparty
Name each group after the counterparty, such as "Series A Investors" or "Buyer: Acme Corp." If a group still shows a template name, open it, edit the Group name under Visitors, and Save.
When to Create a New Group
Create a new group whenever an audience needs different permissions from another: a different NDA, a different watermark, or different folders visible. Different VCs, different buyer firms and different LPs typically each get their own group. That gives you independent security settings, separate analytics per group, and clean revocation, so you can switch off one group without touching the others.
If two audiences should see the exact same thing under the exact same rules, one group holding both sets of emails is fine.
How many groups when several parties bid?
Invitees never see who else is invited, whether they share a group or not. With fewer than 8 to 10 counterparties, give each its own group for granular control. Beyond that, group by stage (early, mid, late diligence).
Common Questions
When should I create a new group instead of reusing one?
Create a new group whenever an audience needs different permissions from another: a different NDA, a different watermark, or different folders visible. Different VCs, different buyer firms and different LPs typically each get their own group.
Can the same group be used in two data rooms?
Each group belongs to one data room, so its permissions, analytics and revocation stay independent per room. To give the same people access to another room, add them as a group there.
I want one person to see a tailored version. What do I do?
Create a new group dedicated to them. You can tune that group's security and folder access without touching anyone else's. A group's link can be sent to one recipient or to fifty, but a dedicated group is the way to give one person their own version.
I switched a group between Email access and Link access and my emails disappeared.
Toggling the mode can clear the viewer emails you had entered. Pick the access mode first, then add visitors. If you need both modes, create a second group.
