Data Room Level Analytics: The Room-Wide Dashboard

Peony's Analytics tab opens on a room-wide dashboard before you drill into any single document or viewer — total views, average session length, downloads, who's most engaged, and which files are getting attention, all in one screen.

Accessing the Dashboard

Open any data room and click Analytics in the left sidebar. The dashboard loads scoped to the whole room — no document or viewer selected.

What You See

Four summary tiles across the top:

Views — total room opens across every viewer and link
Avg. session — average time spent per visit
Folder downloads — count of folders downloaded as an archive
File downloads — count of individual files downloaded

Below the tiles:

Most active viewers by visit — who's opening the room most often, ranked by visit count
Most active viewers by duration — who's spending the most time in the room, ranked by cumulative view time
Top files viewed — which documents are drawing the most attention, ranked by view count
Top files downloaded — which documents viewers are taking with them, ranked by download count
Downloads — a running log of who downloaded what and when
Visitors — every visitor who has opened the room, each row showing their email (or Anonymous), a one-line summary of their most recent visit, and how long ago it happened. Click any row to open that visitor's full profile — see Audit Trail.

What It Tells You

Where to start a diligence review. Most active viewers by duration surfaces the bidder or investor who has actually spent time in the room, before you dig into any one document.
What to lead with in a follow-up. Top files viewed shows which parts of the room are getting attention across every viewer, not just one — useful for deciding what to walk through on the next call.
Who converted a download into engagement. Cross-reference Top files downloaded against Most active viewers by visit to see whether the people downloading the most are also the ones coming back.

Filtering

Filter the dashboard by viewer, date range, or specific link before reading the tiles and lists below — the same filters that apply on Page-Level Analytics. The link filter isolates one counterparty's activity when you've shared one link per investor.

Exporting

Click Export at the top right of the Analytics tab for a room-wide CSV. See Exporting Analytics for what the export contains and its plan requirement.

Current Scope and Limitations

Folder and file downloads are counted separately. A folder downloaded as a zip counts against Folder downloads; an individual file download counts against File downloads.
The dashboard reflects your active filter. Change the viewer, date range, or link filter and every tile, list, and log on this page recalculates.
Download counts and the CSV export require the Business plan or above — the same gate documented on Page-Level Analytics.

Common Questions

What's the difference between this page and Page-Level Analytics?

This dashboard is room-wide — every viewer, every file, aggregated. Page-Level Analytics is what you get after clicking into one document: a page-by-page Time per page chart and Dropoff report for that file alone.

Where do I see one visitor's full history instead of the room-wide summary?

Click their row in the Visitors list at the bottom of this dashboard, or open the dedicated Audit trail tab in the left sidebar. See Audit Trail.

Does "Anonymous" mean the visit isn't tracked?

No — it means visitor info collection was off for that link, so Peony has no verified email to attach to the row. See the same question on Page-Level Analytics for how to turn that on.
