Invite Viewers and Track Who Opened

Invite viewers to a Peony data room, see who has opened it, and track per-page activity. Viewers are free and unlimited on every plan.

Add a viewer to a data room group and they get an email with a secure link. Viewers are free and unlimited on every plan — they do not count toward team seats.

How to Invite

Open the Permissions tab, pick a group (or click Create new group), and Peony walks you through a two-step wizard: step 1 Visitors, step 2 Document permissions.

On step 1 Visitors:

  • Give the group a Group name.
  • Under Access mode, choose Email access (each viewer verifies their own email — best for per-person analytics) or Link access (anyone with the link gets in).
  • In People with access, type each viewer's email or a bare domain and click Add.

Then click Share securely in the top bar. Peony sends the invite immediately. Full walkthrough of access modes, group setup, and security controls: Permission & Security Settings.

Customize the invite email

By default viewers get Peony's standard invitation email. On the Deal Team plan you can open Custom invite email and edit the subject, logo, and body for that invite, so the message reads in your own voice instead of a generic template. Everyone else sends the default Peony invite.

There is no manual accept step and no "accepted" status to wait on — the moment a viewer opens the link, their activity shows up in your tracking surfaces.

Until a viewer opens the link they simply do not appear in your tracking yet — there is no per-viewer "invited" status to watch. Once they open the room, you read their open and read state from Analytics and the Visitors view, not from a status flag:

  • Each visitor row shows Viewed for their total time in the room.
  • Session timestamps tell you the most recent visit.
  • Per-page and per-document reads show exactly what they opened.

To identify every visitor by name and email, keep Email access on for the group so each person verifies their own email before entering.

Track Per-Page Activity

Open the Analytics tab for:

  • Most active viewers by duration — ranked list of every viewer by total time
  • Most active viewers by visit — the same list ranked by number of visits
  • Per-viewer sessions — start time, dwell time, page order
  • Page-level reads — which pages, how long
  • Per-document views — which files each viewer opened

Filter by date range, drill into individual sessions. Useful for investor updates ("who read the growth section?"), sell-side deals ("which buyer spent time on the customer concentration slide?"), and consulting ("did the client read the appendix?").

Resend Invites

Every active Email access (invite-only) link row shows an inline Resend invite to N button (mail icon), where N is the number of recipients on the group's allow list. Click it and Peony re-sends the invite email to all allow-list recipients on that link at once — it is not per-viewer. The button reads Resending invite... while it works, then confirms Invite resent to N people.

Resend requires a plan that supports data rooms — Business ($30/admin/mo) and up — and has guardrails to protect deliverability:

  • Up to 250 recipients per resend.
  • A 5-minute cooldown per link between resends.
  • Up to 1,000 recipients per day across resends.

Revoke Access

To cut off access:

  • Remove the viewer from the group's allow list — their next click returns a "link not found" page.
  • Regenerate the group's link to invalidate everyone on it at once.

Revocation is instant. To revoke one viewer without touching the rest, put them in their own group. See Permission & Security Settings.

Common Questions

Can I re-send an invite to just one person?

Not on its own. Resend invite to N re-sends to every recipient on that link's allow list at once. If you need to re-invite a single viewer without emailing the rest, put that viewer in their own group and resend on that group's link.

Why do some visits show up as anonymous?

Peony can only name a visitor when they verify their own email. If a group's access mode is Link access (or "require viewer info" is off), anyone with the link gets in without identifying themselves, so those sessions stay anonymous. Turn on Email access to tie every session to a verified email. On the same device and link, a returning viewer won't have to re-enter their details each visit, so it's less repetitive than it sounds.

Do viewers count against my plan or seats?

No. Viewers are free and unlimited on every plan, and there is no cap on how many people you invite to a data room. Only admins consume paid seats.

I invited people from the wrong Settings screen — which is which?

There are two surfaces that both say "Settings" and are easy to confuse. Workspace settings (bottom-left of the home screen) manage your team, billing, and admins. The per-data-room Settings tab manages that one room. You invite viewers from a room's Permissions tab, not from either Settings screen — Settings is where you invite admins.

I run two separate data rooms and different people should see each — how?

Create a team workspace per room (from the left of the main app), invite each room's admins into the right workspace, and keep a founder in both if they need full access. Viewer access is then scoped per room through that room's groups. See Invite Your Team.

Can I customize the email viewers receive?

Yes, on the Deal Team plan. Open Custom invite email and edit the subject, logo, and body. Other plans send Peony's default invite.

Common Mistakes

  • Inviting viewers from Settings. Viewers go through a room's Permissions tab and the Visitors step, not the Settings tab (that's for admins).
  • "Invite Viewer" vs "Invite Team". Viewer invites are free and unlimited. Team invites add paid admin seats. See Invite Your Team.
  • Group email for multiple investors. You lose per-person analytics. Invite each individual.
  • Assuming the invite always arrives. Corporate spam filters can silently reject. Ask the viewer to check spam or send the URL from your own email.
  • Leaving access open after a deal closes. Set a link expiry or revoke manually.
